What if I find an airline ticket cheaper than the state contracted travel agency?

Contact Carlson / Wagon lit (Navigant) and inform them of the cheaper rate. If they cannot match the rate and an employee plans to use an agency other than the state contracted travel agency, and he/she must seek approval for this exception from the State Travel Office prior to the purchase of the ticket. Travel exceptions will only be approved when documentation of savings can be determined when a low airfare is compared to the lowest ticket price that can be issued from the state travel agency. Employees should route any such request through UNO Travel @ travel@uno.edu or call 504.280.6209.

Which airline ticket purchase options are available when using the state contracted agency Carlson / Wagon lit (Navigant)?

When traveling on official University business you may purchase an airline ticket using the state contracted rate or the lowest logical rate. Lowest logical airfares may be paid with any form of payment acceptable by the state contracted travel agency. State contracted airfares must be paid with an official state contracted card (Bank of America Visa) or with the university’s Central Billing Account (CBA) formerly BTA. Lowest logical airfares are penalty tickets that may have certain restrictions, and impose a penalty fee in the event of changes or cancellations. State contract airfares are non-penalty tickets that are totally refunded, and the price is firm as long as there is a seat available for that flight.

What can the Bank of America Visa Corporate card be used for?

The corporate card is for official state travel business purposes only.  Personal use of the state travel card may result in disciplinary action.

What purchases are classified as retail when using the Visa corporate Card Bank of America Visa Corporate card?

All purchases are considered to be retail except lodging, transportation, meals, gasoline or some registration fees.  If you using the card for one of these merchants and are experiencing problems, please contact the UNO State Travel Liaison at travel@uno.edu or call (504) 280-6209.
   

What is the monthly limit on retail?

Each card has a monthly retail limit of $250.

What are the advantages of applying for a Bank of America Visa Corporate Card?

The corporate travel card or university’s CBA must be used to purchase contract airfare.  This is a mandatory requirement by the airlines in order to continue to receive discounted, non-penalty state contract airline tickets.  The corporate card may also be used to purchase lowest logical airfare tickets and other travel related expenses such as food or lodging, but is not mandatory.  There are no annual fees associated with the corporate travel cards. 

The corporate travel card is the liability of the employee and not the university.  An employee terminating service must surrender the card to the State Travel Liaison for proper deactivation and disposal.  A retiree may not retain his/her card.

What are the card limits for travel expenses?

In general most cards are issued with a card limit of $5,000 for travel expenses. Travel expenses include purchases made through airlines, hotels, car rentals, restaurants, and other travel related vendors. Lower credit amounts may be warranted depending upon an individual’s credit history.

If I have a Bank of America Visa Corporate card, can still use the university’s CBA also?

No, the traveler cannot be an individual corporate travel card holder and use the CBA.

What if my travel requirements exceed $5,000 and I need a higher travel limit?

If your travel requirements are in excess of $5,000 per month, you should contact UNO’s State Travel Liaison to request a higher limit. Please note: This request will be routed through the Chancellor’s office for approval before submission to Bank of America. Since your account is to be paid in full at the close of each billing cycle the $5,000 limit should be sufficient.

Since this is a VISA card can I pay only a partial payment of the balance due each month?

No. This VISA card is issued as a corporate card and must be paid in full upon the receipt of each statement.

What is the interest rate charged on the corporate travel card?

If your balance is paid in full at the end of each billing cycle, there is no interest charge.

What costs are involved for delinquent payments?

A late fee payment of $29.00 will be applied on day 61. In addition, Bank of America will charge interest on any balance due at day 61. The interest rate is Prime plus 1%.
